Duties and Responsibilities:

 

Under minimal supervision, enhances executive's effectiveness by performing administrative duties for executive management.  Responsibilities may include managing calendars and activity reports for resident services, preparing HUD and DOL reports; assisting with grant writing for resident services and other PHA departments making meeting and event arrangements; preparing reports and financial data; interacting with residents and staff.  Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience and the ability to work well with all levels of internal management and staff, outside clients and vendors.  Sensitivity to confidential matters may be required.  Responsibilities include, but are not limited to, the following:

 

  1. Schedules appointments and other commitments as requested. Executive staff with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, etc.
  2. Makes and receives calls to the Executive office staff generally associated with Resident Services or special programs such as RAD (Rental Assistance Demonstration).
  3. Processes incoming correspondence generally associated with Resident Services, RAD or Special Projects. Reviews, proofreads, and formats all correspondence.
  4. Makes and reviews all travel arrangements for Resident Services.
  5. Tracks and maintains external and internal reporting requirements for various agencies, including HUD, State and others. Provides reminders to responsible entities and maintains library of submitted reports.
  6. Maintains SHA's files and records in accordance with HUD's, DOL or other grant provider records retention guidelines and directions including HUD PIH Notices.
  7. Responds to and handles confidential and sensitive information with poise, tact, and diplomacy. Maintains appropriate interpersonal relationships with employees, peers, and consumers.
  8. Researches grants and/or program opportunities, meets with prospective partners and prepares applications and reporting associated with grant funding.
  9. Assists with planning and delivery of Resident Service Functions. Provides requisite materials for scheduled activities. 
  10. Prepares data and communication that enhances public support of SHA residents and resident activity programs.
  11. Coordinate volunteer opportunities and activity
  12. All other duties as assigned.

 

QUALIFICATIONS AND KNOWLEDGE:

 

  1. Must have Bachelor's degree in Business Administration, Public Administration, Accounting, or a related field, is preferred.
  2. Five years of experience in supporting an organization's mission, time management, handling of competing priorities, providing attention to detail and managing stressful situations professionally; or an equivalent combination of college course work and higher education (one year of relevant experience is equivalent to one year of relevant higher education and vice versa).
  3. Excellent interpersonal and problem-solving skills; and the ability to relate to a wide range of issues, people and institutions.
  4. Must have deep respect for the ideas, culture and intelligence of the participants.
  5. Ability to establish rapport and relate sensitively to a multiracial and multicultural group of people and staff.
  6. Excellent interpersonal skills with nonjudgmental approach and style.
  7. Oral and written communications; clerical and organizational skills; conflict resolution; using mainframe and personal computer applications, including Microsoft Windows applications; researching, compiling, analyzing, and evaluating data; technical skills; excellent interpersonal skills with the public and monitoring agencies.
  8. Ability to multi-task in fast-paced environment.
  9. Team player with a positive attitude.
  10. Ability to handle occasional unusual pressure is required.

 

SPECIAL REQUIREMENTS

  1. Must possess a valid SC Driver's License to operate a vehicle from the SHA pool.
  2. Must be insurable by the Authority's fleet insurance carrier. Must be bondable.
